Your Computer Is Not a Backup: How to Protect Your Photos and Important Files

One of the most common things I see with computers is people keeping years of important information in one place and assuming that because the computer is working today, those files are safe. Family photos, videos, tax documents, business records, schoolwork and other irreplaceable files may all be sitting on a single hard drive or SSD with no second copy anywhere.
The problem is simple: if your important files exist in only one place, they aren’t backed up.
A computer can work perfectly for years and then develop a problem without much warning. Hard drives fail. SSDs fail. Windows can become corrupted. Computers get dropped, stolen or damaged. Files can be accidentally deleted. Malware can cause problems. I’ve worked on enough computers to know that the value of the files stored on a machine can easily become far greater than the value of the computer itself.
Replacing a computer is usually straightforward. Replacing twenty years of family photos may be impossible.
That’s why I think everyone should have some kind of backup system, even if it’s a very simple one.
What Exactly Is a Backup?
A backup is a separate copy of your information that you can use if something happens to the original.
That sounds obvious, but there’s an important distinction. Copying photos from your phone onto your computer and then deleting them from your phone isn’t necessarily creating a backup. You’ve simply moved the only copy from one device to another.
The same applies when someone buys an external hard drive, moves all of their photos onto it to free space on the computer and then considers the external drive their backup.
If the external drive now contains the only copy, that drive has become the original storage location.
For something to truly be backed up, there needs to be another copy somewhere else.
What Should You Back Up?
You don’t necessarily need to back up everything installed on your computer.
Windows can be reinstalled. Most software can be downloaded again. Games can usually be reinstalled through services such as Steam or another game platform.
Your personal files are different.
Think about your photos, videos, documents, spreadsheets, accounting information, saved projects and anything else you’ve created yourself. If you couldn’t easily download or recreate something after losing it, that’s the information I would prioritize.
For a business computer, that list can become much larger. Customer information, quotes, invoices, accounting files, contracts, artwork, website files and other business records may be critical to daily operations.
The easiest question to ask yourself is:
If my computer disappeared tonight, what would I wish I had copied somewhere else?
Those are the files that need protection.
External Hard Drives Are Still Useful
For many home users, an external USB hard drive or SSD is one of the easiest ways to create another copy of important information.
You can connect the drive to your computer and copy your Documents, Pictures, Videos and other important folders onto it. Better yet, backup software can automate much of the process so you’re not relying entirely on remembering to manually copy everything.
External storage has several advantages. It’s relatively inexpensive, it can hold large amounts of information and restoring files doesn’t normally require downloading everything over the Internet.
But there is one important limitation.
If the external drive stays connected to the computer all the time, both copies can potentially be affected by the same event.
A power problem could damage connected equipment. Malware or ransomware may be able to access connected storage. A stolen computer could disappear along with the backup drive sitting beside it.
That’s why an external drive can be a very good part of a backup system without necessarily being the entire backup system.
Cloud Storage Adds Off-Site Protection
Cloud storage provides another useful layer because the information isn’t stored in the same physical location as your computer.
If your computer were stolen or damaged in a fire, for example, files stored through an online service could still be available from another device.
Cloud services can also make backing up easier because synchronization can happen automatically in the background rather than requiring someone to remember to connect a drive.
However, synchronization and backup aren’t always exactly the same thing.
If you accidentally delete a synchronized file, that deletion may also synchronize to other devices. Many services provide deleted-file recovery or version history, but the exact features and retention periods depend on the service.
That’s why it’s worth understanding what your particular cloud service actually protects rather than assuming anything stored in “the cloud” can never be lost.
The 3-2-1 Backup Rule
For information that’s particularly important, there’s a well-known guideline called the 3-2-1 backup rule.
The idea is to maintain:
3 copies of your information
2 different types of storage
1 copy somewhere off-site
For example, your original files might live on your computer. A second copy could be stored on an external hard drive. A third copy could be stored using a cloud backup service or another drive kept at a different location.
The reason this approach works well is that it reduces the chance that one event can destroy everything.
If the computer’s SSD fails, you have the external drive.
If the external drive fails, you have another copy.
If something happens to the entire building, an off-site copy remains available.
Not every file on every home computer necessarily requires this level of redundancy, but for irreplaceable information, it’s a very good principle.
Photos Deserve Special Attention
Photos are probably one of the biggest reasons I recommend backups to home users.
People now take thousands of pictures with their phones, digital cameras and other devices. Over time, those photographs may document decades of family history.
The problem is that people often consolidate those photos onto one computer.
They might have pictures from several previous phones, old digital cameras, USB sticks and older computers all copied onto one large folder on their current PC. It feels organized and safe because everything is finally together.
But if that’s the only copy, consolidating everything has actually created a single point of failure.
Once you’ve collected important photos in one location, that’s the perfect time to create another copy somewhere else.
Don't Forget Your Phone
For many people today, their phone may actually contain more irreplaceable information than their computer.
Think about how many photos and videos are created on a smartphone before they’re ever transferred anywhere else.
Phones can be lost, stolen, dropped or damaged just like computers. Automatic photo backup can provide an extremely useful layer of protection.
However, I still wouldn’t assume that having photos synchronized with one online account means you never need to think about them again.
If you have truly important photographs, periodically creating another independent copy is worthwhile.
Businesses Need More Than "I Think It's Backed Up"
Backup planning becomes more serious when a business depends on its information.
I’ve seen situations where someone assumes their files are being backed up because an external drive is connected or a piece of backup software is installed.
But there’s a major difference between having backup software and having a working backup.
Businesses should know what information is being protected, where the backups are stored, how frequently they run and whether those backups can actually be restored.
Accounting files are an obvious example. If your accounting information changes every business day but your most recent backup is three months old, you technically have a backup—but losing three months of records could still be a major problem.
The backup frequency should match how much information you’re willing to lose.
How Often Should You Back Up?
There isn’t one schedule that works for everyone.
If you use your home computer occasionally and only add a few new files each month, weekly or even less frequent backups might be adequate depending on how important those files are.
If you operate a business and create or modify important information every day, daily backups may make much more sense.
Some systems can continuously synchronize or back up files as they’re changed.
Instead of asking, “How often should I back up?” I think the better question is:
How much information could I afford to lose?
If losing everything you’ve done since yesterday would be unacceptable, your backup interval shouldn’t be a week.
A Backup You Haven't Tested Is Only a Hope
Creating backups is only part of the process.
You should occasionally verify that they’re actually working.
Open the backup drive and make sure recent files are there. Check the backup software to confirm that jobs are completing successfully. If possible, test restoring a few files.
This is especially important for businesses.
Discovering that a backup system stopped working six months ago after a computer fails is exactly when you don’t want to discover the problem.
Backups should be monitored occasionally just like any other important system.
RAID Is Not a Backup
This is particularly important for people using servers, NAS devices or higher-end computers with multiple drives.
RAID can provide redundancy. Depending on the configuration, one drive may fail while the system continues operating.
That’s useful.
But RAID is not the same thing as a backup.
If someone accidentally deletes an important folder, that deletion can occur across the array. If ransomware encrypts the files, RAID doesn’t preserve an untouched version. If the entire NAS is stolen or damaged, all of the drives may disappear together.
RAID helps protect against certain types of drive failure.
A backup protects your information.
Those are two different jobs.
What About USB Sticks?
USB sticks are extremely convenient for moving files between computers, but I don’t recommend relying on one as the permanent home for important information.
They’re small, easy to lose and can fail.
That doesn’t mean USB sticks are bad. I use them regularly for moving files, installing software and other tasks.
But if someone hands me a USB stick containing the only copy of years of family photos, I would strongly recommend making another copy.
Convenient storage and reliable backup aren’t always the same thing.
Data Recovery Isn't a Backup Plan
When a hard drive or SSD fails without a backup, people sometimes hope the information can simply be recovered.
Sometimes it can.
Sometimes it can’t.
The result depends on what happened to the storage device. Certain problems can be relatively straightforward, while serious mechanical or electronic failures may require specialized data-recovery services and can become expensive.
Even professional recovery isn’t guaranteed.
That’s why data recovery should be viewed as a last resort rather than the plan.
It’s far easier and usually far less expensive to make another copy of important information before the drive fails.
Protect the Backup Itself
Backups also need protection.
If you’re using an external hard drive, don’t leave it somewhere it can easily be dropped or knocked off a desk. If you’re storing sensitive business information, consider who has access to it.
For cloud services, use a strong unique password and enable multi-factor authentication when available.
Encryption may also be appropriate for sensitive information, particularly on portable storage devices.
The goal isn’t simply to create more copies. It’s to create copies that are both recoverable and appropriately protected.
Keep It Simple Enough That You'll Actually Use It
Backup systems can become extremely sophisticated, but for many home users, complicated isn’t necessarily better.
A simple backup that runs reliably is more valuable than an elaborate system nobody understands and eventually stops using.
For example, someone might keep important files on their computer, automatically copy them to an external drive and have their most important folders protected by an appropriate cloud service.
That’s already dramatically better than keeping everything on one drive.
You can always improve the system later.
The most important thing is to start.
Final Thoughts
The computer sitting on your desk isn’t permanent.
Neither is the hard drive or SSD inside it.
Eventually, every computer will be replaced, upgraded, damaged or retired. The hardware doesn’t need to last forever.
Your important files do.
Family photographs, videos, business records and years of personal documents can easily become more valuable than the machine storing them. If those files exist in only one place, one hardware failure or accident could be enough to lose them permanently.
A proper backup doesn’t have to be complicated. An external drive is a good start. Adding an off-site or cloud copy provides another layer. Automating the process makes it much more likely that backups remain current.
Most importantly, don’t wait until the computer starts making strange noises or refuses to turn on.
By then, you’re no longer making a backup.
You’re hoping for data recovery.
